Introduction
The AVS meldeschein export is a selected form of submitting the guest data to the government in some German states like but not limited to Baden Würtemberg and Nordrheinwestphalen.
The export produces a XML file which is than uploaded to the AVS by the customer.
The Interface is not able to update existing records(AVS limitation) and the customer shall decide when the data should be uploaded (departure may be the best moment as all guest's data is final).
Requirements
- To configure the export you will need the hotel ID<hotelid> and the values for avs_guest_category. Those are located in a file called "Konfigurationsübersicht AVS Meldeschein XML - Import für die NAME OF THE COMPANY"
- avs_guest_category- page one table Übersicht der Kategorien column Kategorie-Bezeichnung for the name and column Kategorie -Nr. for the code of the field
- hotelid - page 2 table Liste der Objekte column Objekt-Nr.
Some preparations also have to be done for your account:
- Create the following new Guest Profile Fields:
- avs_nationality (Field type = String) - use Value List copy/paste from the enclosed file avs_nationality.txt. AVS REQUIRE the field to be completed for every guest;
- avs_guest_category (Field type = String) - The categories are unique for each hotel. You need to collect the data from Übersicht der Kategorien (from your AVS account) and create a new list following the EXAMPLE_avs_guest_category.txt attached here. AVS REQUIRE the field to be completed for every guest;
- handicapped_id_number (Field type = String) - The staff will fill in the handicapped ID of the guest if necessary. The field is optional for AVS;
- handicapped_id_valid_to (Field type = Date) - The validity date of the handicapped ID will be filled in here. The field is optional for AVS
In order to make sure the export data has the correct data you can set a default value for some of the guest fields (where appropriate) in Settings > All Settings > Guest Profile Fields > Set visibility/requirement on different screens
Settings
To configure the integration, open AppConnector, locate AVS meldeschein guest data export, and activate it.
Once activated, go to Settings and fill in the Hotel AVS code you received by AVS. Save
Specifics
To export the data plase open AppConnector, locate AVS meldeschein guest data export select the cogwheel and go to Export section. Specify the arrival period you wich to export as well as your e-mail and click on the export button (right upper corner)
The data will be delivered promptly to the specified e-mail address.
The data is exported for the guests. The main guest of the booking is exported as such(with all the fields bellow) and the other guests of the bookings are exported as companions(with the data from the fields marked with *):
- Gender code (Herr/Frau) of the guest *

- Address (guest) (Since we don't have a dedicated house number field which is required by AVS we are exported the last part (after the last space) of the address from the address field)
