ITALY - Police export (Schede Notifica)

We have set up a specific method of preparing your Clock account for the Italian Police export. The procedure will create all of the needed additional fields with the respective value lists for each.

Activation

1. Please go to the Navigation menu->Settings->All settings->Guest profile fields. Scroll down to the bottom and click on the "Create Italian custom fields" line. This will open a new page where you can activate the additional fields:

Using this option will create the following Guest profile fields in your Clock account:

• italian_police_form
• document_type_italian_police
• guest_type_italian_police
• document_issue_place_italian_police
• country_of_citizenship_italian_police
• country_of_birth_italian_police
• birth_place_italian_police

2. The next step is to go to the Navigation menu->Settings->All settings->Guest profile fields visibility->choose your Clock account. Make sure that only the "Italian police form" field is selected for the "Short Guest Form" and/or the "Long Guest Form". This will ensure that the new fields will be available for the team when managing the Guest registration cards in the bookings. 

Hotel Registry (Optional)

From this section you can also set the Italian police fields for the Hotel registry (if you would like to review those details there). Please select the check box in column "Hotel Registry" for the following fields (or only the ones which you need to see there):

• Birth place italian police
• Country of birth italian police
• Country of citizenship italian police
• Document issue place italian police
• Document type italian police
• Guest type italian police

3. Notify the Clock PMS+ support team that the above steps are completed in order to add option to export the file which will be uploaded to the Italian Police portal.

Usage

1. The registration cards in the bookings. You will see the following fields when editing a registration card:

2. Generating the export file.

Go to the Navigation menu ->Booking->Hotel registry->load the "Old version" using the button from the top right corner.

Generate the result in the old version and export the needed file using the "Export" button.
