Using Event and Block codes

The major benefit of using the codes is that you can create room blocks for an event or group booking and allow the organizers/guests to create bookings on their own through the Web Booking Engine (WBE) using the code and have the bookings allocated automatically to the event/group booking and pick-up a unit from the block.

To enable the functionality you need to do the following:

  • make sure you have enabled the 'Block code' and/or Event Code field in the WBE settings. More info HERE.
  • create a block in an event and set the following:
    • select a rate that will be attached to the block
    • optionally enter a Manual price - this price will override the price in the selected rate in case the agreed price is specific and not available in any of your rates
    • optionally enter for how many Adults and Children this block is

Next, you must apply the code. You have 2 options:

Event Code

The event code can be applied when creating the event or through the Blocks section of an existing Event.

The event code will apply to all blocks set in the Event, unless a block code is applied as well.

Block Code

Block code can be applied to a specific block. Two blocks cannot have the same code.

For both types of code, you can use the 'Generate' button, and the system will generate a numeric code. Alternatively, you can set your own codes. There is NO restriction on the code to be only numeric.

Applying both codes

Please note that you can apply an Event code and a block code for some of the blocks. 

Example of how both codes work together:

We have an event in which four blocks are created:

  • DBL for 1 guest named "Single Use"
  • DBL for 2 guests named "Double Use"
  • TRPL – rooms for three guests
  • 1 DBL room for the organizer, which is free of charge

You apply an event code. Using this single code, guests will be able to reserve all the blocks. In our example, however, we have a block for the organizer that must not be accessible to all guests because it is free. Therefore, we introduce a separate block code only for that block.

What happens in this case?

  • The event code can be used to reserve the three blocks for which no individual block code has been assigned.
  • The fourth block (for the organizer) will be accessible only via its specific code.

Once all is set, you can provide the code/s to the event/group organizers and have them create the bookings on their own through the WBE and those bookings will be automatically attached to the event and pick-up from the block. On the WBE, they will be offered only the rate attached to the block code they have entered.

Example use cases of block codes:

  • an event with room blocks for which the organizer can book the rooms through the WBE.
  • a large group booking for which you have used room blocks to reserve rooms. The organizer can book the rooms through the WBE, eliminating the need for constant emails, ever-changing rooming lists, and manual creation of bookings by yourself. 
  • you work with companies or tour operators for which you have strict allotments and have used room blocks to reserve the units. Using block code/s, the company/TO can book rooms from their allotment themselves through the WBE.
