Configuring Sale Stages for Events

Sale Stages allow you to manage and track the status of your events with customisable options. Unlike the standard statuses, Sale Stages can be tailored specifically to fit your workflow and operational needs.

Important: If you use Sale Stages, you must configure at least one Sale Stage with Check-in status 'Cancelled' otherwise you won't be able to cancel an event.

Setting Up Sale Stages

To configure Sale Stages:

  • Navigate to Settings -> MICE -> Sale Stages.
  • Click to add a new Sale Stage.

  • Name (1): Enter a descriptive name for your stage.
  • Short Name (2): Appears in tables and limited-space areas.
  • Colour (3): Select a colour to easily distinguish stages, also used in the Activities Calendar.
  • Guarantee and Check-in Status (4): Link these Sale Stages to the standard guarantee and/or check-in statuses. Selecting a Sale Stage updates these base statuses accordingly.
  • Sort Order (5): Defines the sequence of stages, thus allowing for quick transition to the next stage.
  • Include in Pipeline View (6): Select if this stage should be selected by default on the Pipeline.

Note: You can delete a Sale Stage only if it is not in use by any Event.

Working with Sale Stages on Events

When you have configured Sale Stages:

  • They will be presented while creating an event and in the Event Search

  • They will be available in the event - you can quickly switch to the next stage (based on your sort order) or select a stage from your list (click "More...").

  • You will be able to make use of the Pipeline

Custom Status Exceptions

While Sale Stages typically align with predefined base statuses, you may occasionally require exceptions. For example:

  • An Event currently in a "Initial Quote" stage might usually have a base Guarantee status of "Optional".
  • If you need to temporarily set this Event as "Guaranteed" without changing its Sale Stage, follow these steps:
    1. Click "More..." on the status selection screen.
    2. Select "Custom Status" and choose the required Guarantee or Check-in status.

Important:

  • Custom exceptions apply only temporarily. Any future change to the Sale Stage will reset the statuses to the default linked statuses.
  • You can remove the Sale Stage from an Event via the same "More..." screen if needed.

Reverting to the Default Status Functionality

If you decide to revert to using the default event statuses:

  1. Remove the assigned Sale Stages from all Events.
  2. Delete the Sale Stages from All Settings -> MICE -> Sale Stages.
