Tracking transfers in the Reports

In your operations, it is important to be able to easily view and keep track and reconcile transferred bills from the POS to the PMS+. 

Locating transferred bills

Closed bills - search

In Clock POS you can easily locate the bills that you have transferred to the PMS+ folio. To find them:

  • navigate to menu Management -> section 'Archive' -> select 'Closed bills - search'.

Note: This report is to be considered more of a control tool allowing you to locate transferred bills and see their details one by one.

  • select if you want to find a bill from today or from a previous day (1)
  • in the field 'Transfer', select 'Transferred' (2)

  • once you generate the report you will see only bills that were transferred to their hotel folio.
  • in column (3) you will see to which room it was transferred.
  • in column (4) you will have an indication if the bill was signed by the guest prior to the transfer or not.
  • you can use the 'Preview' button to see a preview of the bill (with the items) or use the 'Open' button to access the bill and potentially make changes (void the bill, revert the transfer, other). 

Closed folios report

The Closed folios report can provide you with more detailed information about the bills that you have transferred. You can access the report from both systems. To generate the information:

  • select only the POS account
  • enter the period you are interested in
  • in the field 'Source', select 'Transferred'

In the results you will see all bills transferred to the PMS+ for the respective day/period with more detailed information and grand totals.

Revenue from transferred charges

In order to see the revenue transferred from a POS bill to a PMS+ folio, you can use the Charge Summary Report. You can access the report from both systems. Once you open it:

  • enter the period you are interested in (1)
  • select ONLY the PMS+ (hotel) account (2)
  • (optionally) select how the results are to be grouped (3)
  • most importantly, in the field 'Source', select 'Transferred' (4)

By generating the Charge Summary report with these filters, you will see revenue only by charges transferred from a POS bill to a PMS+ folio for the period you have selected.

Generating a complete revenue report

One of the major benefits of having integrated systems like Clock PMS+ and Clock POS is the fact that you can run a single report from any of the systems and see the total revenue for the day/period. The revenue information will contain:

  • revenue generated by folios from the PMS+ for the day/period
  • revenue generated by POS bills paid with cash or card
  • revenue from charges transferred to the PMS+

The report that will show you this information is again the Charge Summary report. Once you open the report:

  • enter the period you are interested in (1)
  • select both the PMS+ and POS accounts (2)
  • (optionally) select how the results are to be grouped (3)
  • most importantly, in the field 'Source', select 'Not Transferred' (4)

The results will give you a full revenue figure from both your hotel and F&B outlet for the respective day or period. You can enable a more detailed breakdown of the revenue by adding more 'Group by' options.

Note: The POS revenue groups will have an extra indication so that it is clear to you that those are the charges generated by the sold menu items (either transferred or paid at the restaurant).
