Setting up the prices

Once we have entered the main parameters of the contract, we proceed to configure the prices.

Analysis of prices in the contract

Before entering the values into the system, let's review the contract and specify:

  • For each room type, whether the price is per bed or per room.
  • We check the exceptions: especially discounts for children:
    • whether they are set as percentages or as fixed amounts;
    • for each age group, how many types of discounts there are and whether some of them occur more frequently.

Entering base prices per night

Prices are set in the "Base prices" section.

  • Row for each room type – we add a separate row for each room.
  • Meals – we always start with the lowest meals option in the contract (in our example, this is BB – breakfast included)
  • Pricing – we specify whether the price is “per bed“ or „per room”. In the example, we are working with a 'per bed' price.
  • Charge template – we select the appropriate template to apply.
  • Filling in the price columns:
    • Base price– enter the standard price for an adult for each season.
      • If the contract includes  percentage discounts (e.g. for children), the system will calculate them based on this value.
      • The contract also specifies a price for single occupancy, but discounts for children are calculated based on the standard price for double occupancy. Therefore, the base price is the price for double room.
    • Columns for children – the system adds a separate column for each age group.
      • We can enter a final amount or a percentage discount on the base price.
      • In our example, we are working with percentage discounts:
        • small child → –100%
        • big child → –70%
      • We will enter these values in the rows for the respective seasons.

Note: In our contract, we only have one percentage discount for each age group. However, in some contracts, discounts may vary depending on the combination of guests. In such cases, the correct approach is to enter the price or discount that applies most often to the given age group.

Additional payment for board

Once we have entered the base prices for all room types, we proceed to configure the surcharges for additional board.

The sample contract includes supplements for two more types of board (HB and FB). The price is specified for adults and older children, while younger children do not pay extra.

Configuration steps:

  • In the "Additional board" section, add a separate row for each additional board;
  • Select the appropriate template for the charges that will be applied;
  • Enter the prices for each age group and season. Leave the column for the small child blank, as there is no additional charge for them.

This way, the system will correctly calculate the base price (with breakfast) and automatically add the corresponding surcharge for the pension when selected.
