After entering the basic room rates in the "Basic Rates" section, we move on to the "Specific Accommodations" section, where we describe the exceptions.
In our contract, this includes:
- Cases where older children stay for free (–100%) ;
- Discounts for the 3rd, 4th, 5th, and 6th adult in the room;
- Surcharge for the 5th and 6th adult in an apartment.
Exceptions for children
Let's start with the conditions for children.
According to the contract, an older child stays free of charge when they are the first child in the room. This applies to the following combinations:
- DBL and DBL Promo – 2+1;
- DBL, DBL Promo and FAM – 2+2;
- FAM – 2+3, 2+4, 3+1, 3+2, 3+3, 4+1, 4+2, 5+1;
It is important to note that each combination must be entered as a separate line.
Combination 2+1
Let's see how the line for 2 adults + 1 child (DBL and DBL Promo) is filled in:
- Text → "Child 2+1". This explanation will be displayed in the charge and will clarify why the discount has been applied;
- Room Type → DBL and DBL Promo;
- Adults/Children → 2 / 1;
- No. in party → 3. In the 2+1 combination, the child whose price we want to change is the third guest in the room;
- Age Group → Child.
- Accommodation modifiers → –100% for all seasons.
- Extra board modifiers → leave blank because the contract does not include additional payments for other types of meals.
2+2 combination
Next is the combination of 2 adults + 2 children (DBL, DBL Promo, and FAM):
- Text → „Child 2+2“;
- Room Type → DBL, DBL Promo and FAM;
- Adults/Children → 2 / 2.
The remaining fields are filled in the same way as for 2+1.
Combinations for FAM only
All other combinations are only applicable to the Family Room.
The difference here is which guest is the first child to whom the condition applies.
Examples:
- For 2+4 – the first child is the 3rd guest.
- For 3+2 – the first child is the 4th guest.
- For 4+2 – the first child is the 5th guest.
It is important for each combination of guests to carefully consider which guest is the "first child" and enter it in the "Guest number" field.
Exceptions for adults
Once we have finished with the combinations for older children, we move on to the discounts for adults on extra beds. According to the terms of the contract, the following combinations are possible:
- DBL and DBL Promo – combination 3+0;
- FAM – combinations 3+1; 3+2; 3+3; 4+0; 4+1; 4+2; 5+0; 5+1; 6+0.
Each combination must be entered separately. Let's start with the simplest case:
Combination 3+0 (DBL and DBL Promo)
- Text → „3rd Adult 3+0“ (will be displayed in the charge for greater clarity);
- Room Type → DBL and DBL Promo;
- Adults/Children → 3 / 0;
- No. in party → 3 (third guest in the room);
- Age Group → Adult.
- Accommodation modifiers → for each season we introduce –30%.
Combinations (FAM only)
All other combinations are described in the same way, changing the number of Adults/Children and "Guest in line".
There is one peculiarity here: in some cases, it is necessary to enter several lines for the same combination because the contract provides for a discount for more than one guest.
Example: combination 5+0 (FAM)
The condition is a discount of –30% for the 3rd, 4th, and 5th guest. This means that we need to create three separate lines:
- 5+0, guest number 3;
- 5+0, guest number 4;
- 5+0, guest number 5.
The only difference between them is in the "Guest number" field and the explanatory text. All other settings are the same.
Additional payment for an apartment
The last group of exceptions is related to additional payments for the 5th and 6th adults in the apartment. We will enter them for the room type APP5+pax.
The combinations we need to describe are:
- 5+0;
- 5+1;
- 6+0.
Combination 5+0 (APP5+pax)
- Text → "5th Adult 5+0".
- Room type → APP5+pax.
- Adults/Children → 5 / 0.
- No. in party → 5.
- Age Group → Adults.
- Accommodation modifiers → enter the specific amount of the surcharge for each season.
We describe the 5+1 combination in the same way.
For the combination 6+0, we need to add two rows – one for the 5th guest and one for the 6th guest.
