The Rate Restrictions are tools with which you control the conditions for which the rate and its respective price are applicable.

Note: All restrictions described below can be applied in the BookDirect (WRS).

Supported by channel managers

Guarantee PolicyA rate having this restriction will change the default WRS guarantee policy with the one set in the rate itself. This restriction can be used to specify different deposit amounts and guarantee options for different rates.
Max adultsThe rate will be available only for requests with the specified or a smaller number of adults.
Max childrenThe rate will be available only for requests with guests count (adults + children) equal to or smaller than the sum of Max adults and Max children restrictions.
Min adultsThe rate will be available only for requests with the specified or a larger number of adults
Min children

The rate will be available only for requests with the specified or a larger number of children.

Use in combination with 'Max adults' and 'Max children', when you want your guests to be shown only the rates, which accurately match the number of adults and children in the requests of these guests.

E.g. - a guest is looking for offer for 2 adults + 1 child, and you have a special rate for 2 adults + 1 child, with set 'Min adults' and 'Max adults' to 2, and 'Min children' and 'Max children' - to 1.

Stop from saleThe rate, season or day will be stopped for sale.
Closed for arrivalThe rate will be closed for arrival on a certain day or for a certain period (season).
Closed for departureThe rate will be closed for departure on a certain day or for a certain period (season).
Min stayThe rate will be available only for requests for stay equal to or longer than the one specified here.
Max stayThe rate will be available only for requests for stay equal to or shorter than the one specified here.
Min Stay on ArrivalFor a booking arrival date set with this restriction, the rate will be available only for booking stays equal to or longer than the period specified in the restriction.
Max Stay on ArrivalFor a booking arrival date set with this restriction, the rate will be available only for booking stays equal to or shorter than the period specified by the restriction.
Min free roomsThe rate will be available on a certain date only if the number of free rooms is equal to or larger than specified. "Free rooms" are all available rooms of the room type of the rate.

Max free roomsThe rate will be available on a certain date only if the free rooms are that many or fewer. "Free rooms" are all available rooms of the room type of the rate.

Min days before arrival 

Max days before arrival

Use these restrictions to set a future period in which bookings with nights falling in this period will be accepted. For example, if it is set that the min days before arrival are 60, and the max days before arrival are 90, only the bookings with nights falling in this period will be accepted. All the other nights (before the minimum of 60 days and after the maximum 90 days) will be stopped for sale.

Active from dateFrom this date on, a rate related to this restriction is activated. Thus you can determine the date of the automatic activation of this rate.
Send as 'Stop' for restricted dates
Active to dateSales at the rate related to this restriction are stopped after this date. Thus you can set the date after which the rate will no longer be shown to guests to book at. This restriction has nothing to do with the period of stay of the guest and applies to the time of the actual booking making only.

Last Minute days

Use it to create last minute rates. For each rate or season, you can set the number of days before arrival for which the rate will be active. For example, if you enter '2' in the 'Last Minute days', this means that the rate will be active for guests arriving today, tomorrow or the day after tomorrow. This restriction does not limit the length of a stay.

Recommended use: at a rate or season level.

Restriction Levels

The restrictions can be applied at five different levels: Room type, Rate plan, Rate, Season and Specific day.

Rate, Season and Specific Day Levels

To the levels of this group, you can apply all types of restrictions. Lower-level restrictions override upper-level restrictions.

  • Restrictions at the Rate level will be available for all dates the rate covers.
  • Restrictions at the Season level will override (set new rules or remove existing ones) restrictions at the Rate level.
  • Restrictions at the Specific day level will override restrictions on the Season or Rate.

Example:

  • Set restriction "min stay" = 2 for rate "RACK". The restriction is applied to all seasons and days.
  • For season "LOW" in the same rate set "min stay" restrictions to "0". Now the restriction (min. stay = 2) applies to all seasons and days, except to season "LOW".
  • For '10 Mar' in season "LOW" set "Min stay" = 4. Now '10 Mar' will require a minimum stay of 4 nights. There will be no restriction for the other dates in season "LOW"; the rest of the dates will require min. stay = 2.

Important: 'Close', 'Close for arrival' and 'Close for departure' can't be overridden by lower level restrictions. If you close the rate, the seasons and days are closed as well, regardless of their 'Close' restrictions.

Room Type and Rate Plan Levels

To the levels of this group, you can only apply the restrictions "Stop from sale" and "Min. Stay". It lets you easily and quickly manage these two restrictions  in relation to multiple rates. The restrictions set at the levels of this group override the ones set in the previous three levels (rate, season and specific day).

  • The restrictions at the Rate Plan level are applied to all rates of this plan;
  • The restrictions at the Room Type level are applied to all rates of the respective room type and have the highest priority of all levels.
Example: If you have the following "Min. Stay" restrictions set:
  • at the Specific Day level to the "RACK DBL" rate,  Min. Stay = 3 ;
  • to the "RACK" rate plan, containing the rate,  Min. Stay = 2. The restriction will apply to all rates of this plan;
  • to the "DBL" room type, Min. Stay = 4. The restriction will apply to all rates of this  room type.

As a result, the following restrictions will be applied:

  • for the specific date and all of the rest of the dates, the required minimum stay for a "DBL" room type in all rates (including the "RACK DBL" rate) will be 4;
  • to the rates of all of the rest of room types part of the "RACK" rate plan, the required minimum stay  will be 2.

Applying Restrictions

At the Rate Level

While creating a rate or editing an existing one, select the Restrictions tab and set the values.

At the Season Level

In the Season section of the rate management screen, add a new season or edit an existing one. Apply the restrictions through the Restrictions tab.

At the Day Level

In the Day section of the rate management screen, use the button on the top right to select which restriction you want to apply. Afterwards, simply click on the day for which you want to apply the restriction and either enable it or enter the value (depending on the type of restriction you want to apply).

At the Rate Plan Level

From the menu on the 'Rates Management' screen, select More->Rate Plan Restrictions. In a view similar to the one by days for the rates, you will be able to see all rate plans with options to filter by period and restriction. In addition, info of the hotel occupancy can be shown. Here is how you can set the restrictions:

  • Load the period, for which you would like to set the restrictions;
  • Click the view change button in the upper right corner and select which restriction to be visible;
  • For the "Min. Stay" restriction, start with the minimum stay that you would like to apply;
  • Click the respective cell to set or remove the restriction;
  • Save the changes.

At the Room Type Level

From the  'Rates Management' screen menu, select More->Room Type Restrictions. In the Days view, all active room types will be loaded. You can also load the info of the Hotel occupancy and Occupancy by room type. Apply the Room type restrictions in a way similar to the one for the rate plan and save the changes.

Using the controls in the “Hotel” row, the restrictions are applied to absolutely all active room types in the hotel. This way you can quickly stop all the hotel's rooms from sale for the specific date.
