Incoming Emails for the Event
By default, the Event screen allows you to send emails directly related to the event and displays only these messages. However, you can enhance this functionality by connecting your general mailbox (IMAP server), such as [email protected], used for sending and receiving emails. With this connection, Clock will regularly scan your mailbox to automatically identify and include related incoming emails and any messages you've sent directly from your inbox.
Example Scenario:
You send a BEO to a client directly from the Event screen.
The client replies with an inquiry via email.
You reply to the inquiry directly from your phone or email client.
The Event emails screen will display all these communications—including original templates, client responses, and your direct inbox replies.
Currently, the system identifies emails linked as follow-ups to those sent initially from the Event screen. Future enhancements will allow linking initial emails, even without initial reference details, providing a comprehensive, centralized archive of correspondence within each Event.
If you manage multiple email addresses for customer communications, you can create a dedicated summary mailbox (e.g., [email protected]). Set up rules to forward or copy emails from your various addresses to this central mailbox. Clock will track this summary mailbox, ensuring a complete email history.

Tips for Connecting IMAP:
Note: Always consult with your IT administrator or email provider for the connection.
Google Workspace/Gmail: Ensure IMAP is enabled (Settings → Forwarding and POP/IMAP → IMAP access). Due to Google's security updates (from March 14, 2025), IMAP requires an app-specific password.
Host: imap.gmail.com
Port: 993
Connection security: SSL/TLS
Microsoft 365/Outlook: Verify IMAP access is enabled by your administrator. Use standard IMAP settings (e.g., outlook.office365.com) and app-specific passwords if using two-factor authentication.
Host: outlook.office365.com

Connection security: SSL/TLS
Yahoo Mail: Activate IMAP and generate an app-specific password (Account Security → Manage App Passwords).

Other Providers: Check your email provider's documentation for specific IMAP setup details and required authentication methods.
If difficulties arise, please contact your IT administrator or email provider for further assistance.
